Client Service & Operations Specialist

THE ROLE: As the Client Service & Operations Specialist you will help us deliver excellent communication and service to our clients. This role requires someone who is internally motivated and self-directed but can collaborate and work as part of a team. The individual must be thorough and meticulous, have fantastic communication skills, and enjoy talking to clients and forming relationships. They must have a strong desire to learn, grow, ask questions, and have a passion for personal development. Initially, you will not need a securities license, but should you wish to grow in this firm, you may pursue certifications for advancement. This position allows you to gain valuable experience in the wealth management field, develop communication and analytical skills, and progress toward higher-level client interaction and responsibilities.

Responsibilities:

  • Collaborate with clients and colleagues to ensure proper account opening procedures and documentation.
  • Schedule and prepare for client meetings; enter and maintain client data in CRM system, financial planning, and portfolio analysis software, prepare reports and other deliverables.
  • Maintain thorough notes from client meetings; follow-up on support and service activities and transactions as well as communicate proactively with the team and clients.
  • Assist with day-to-day client service requests; proactively resolve clients’ issues and concerns.
  • Administrative duties such as handling telephones, mailing, filing, and processing forms.
  • Comply with all industry rules, regulations, and firm policies.

Job Requirements
Qualifications:

  • Bachelor’s Degree preferred. Relevant industry experience may be considered in lieu of a degree.
  • 2+ Years of Financial Services or Wealth Management industry experience preferred.
  • Must be positive, energetic, dedicated, flexible, organized and motivated.
  • Excellent attention to detail, solid follow-up skills, and the ability to think strategically and solve problems.
  • Superior interpersonal, organizational, and client service skills, and a desire to work effectively in a highly collaborative team environment.
  • Proficiency in all Microsoft Office programs including Word, Outlook, Excel, and Teams
  • Skilled at planning, organizing, prioritizing, and executing simultaneous projects and activities; ability to effectively prioritize tasks and adapt quickly to change.
  • Strong technology skills along with openness to learn & implement new technology.
